Privacy Policy
SupplyStock · Effective October 13, 2026
This Privacy Policy explains what information SupplyStock collects when you use the SupplyStock website, web applications, mobile experiences and related services (together, the “Service”), how we use it, who we share it with, and the choices you have. SupplyStock is operated by SUPPLY STOCK LLC (“SupplyStock,” “we,” “us”).
1. Information we collect
Account information. Name, work email address, phone number, job role and the organization and facilities you are authorized to use, plus the credentials needed to sign you in.
Customer and operational data. The information your organization puts into or generates through the Service: facilities and locations, products and catalogs, inventory counts and movements, orders and replenishment schedules, devices and tag reads, charges, invoices and related billing details, and service tickets and notes.
Information from connected accounting systems. If an authorized administrator connects a QuickBooks Online company (see section 4), we receive the customer and invoice records that company holds, as described there.
Usage and device information. Log data such as IP address, browser and device type, pages and actions, timestamps, and error reports. We use browser storage and similar technologies to keep you signed in and remember preferences.
Communications. Messages you send us and the notifications (email or text) we send you about orders, inventory alerts and invoices.
2. How we use information
- To provide, operate, secure and support the Service, including showing your organization its inventory, orders and invoices.
- To authenticate users and enforce each person’s organization and role permissions.
- To send transactional notifications you or your organization have asked for.
- To monitor performance, diagnose problems, prevent fraud and abuse, and improve the Service.
- To meet legal obligations and enforce our terms.
We do not sell personal information, and we do not use information from connected accounting systems for advertising.
3. Who we share information with
- Your organization. Information is available to the authorized users of your organization and, where a vendor relationship exists, to the vendor and customer organizations involved in the same orders, charges or invoices.
- Service providers that process data on our behalf under confidentiality obligations, such as cloud hosting (Amazon Web Services) and email and text-message delivery providers.
- Legal and safety. When required by law or to protect rights, safety and security.
- Business changes. In connection with a merger, acquisition or sale of assets, with notice where required.
4. QuickBooks Online and Intuit
An authorized administrator can connect a QuickBooks Online company to SupplyStock by signing in with Intuit and approving access. When that happens:
- We request only the accounting permission (
com.intuit.quickbooks.accounting). - Our integration reads data; it does not change your books. It reads customer records and invoices (including line items, amounts, taxes, balances and dates) so that invoices can be shown in SupplyStock. It does not create, edit or delete anything in QuickBooks and it does not send email to your customers.
- We store the access credentials Intuit issues to us in encrypted form in a managed secret store. We never see your Intuit password.
- Imported records are used only to show and reconcile invoices for the organizations they belong to.
- You can disconnect at any time from your QuickBooks Online account (Apps, then SupplyStock, then Disconnect) or by asking us. After disconnection we stop reading from your company; records already imported remain as part of your invoice history unless you ask us to delete them, subject to legal retention requirements.
Intuit’s handling of your data is governed by Intuit’s own terms and privacy statement.
5. Security
We protect information with safeguards that include encrypted connections (HTTPS), role-based access limited to each user’s own organizations, encrypted storage of integration credentials, and logging of administrative actions. No system is perfectly secure, so we cannot guarantee absolute security. Please tell us right away if you believe your account has been compromised.
6. Retention
We keep information for as long as your organization has an account and as needed to provide the Service, meet legal, tax and accounting obligations, resolve disputes and enforce our agreements. Invoice and billing records are retained for the periods those obligations require. When information is no longer needed we delete or de-identify it.
7. Your choices and rights
You can ask to access, correct or delete personal information we hold about you, and to opt out of non-essential messages. Depending on where you live (for example California), you may have additional rights, including to know what we collect and to not have personal information sold; we do not sell it. Because most data in the Service belongs to your organization, we may refer a request to your organization’s administrator. To make a request, contact us using the details below. We will respond within the time the law requires.
8. Children
The Service is for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 16.
9. Changes to this policy
We may update this policy. When we make a material change we will update the effective date above and, where appropriate, notify administrators of the Service.
